Security and Policies

All of the policies on this web-page apply to computers[2] used at the AEI.
[2] the term computers is used here to include all computational devices such laptops, workstations, mobile phones, tablets, USB sticks, printers, scanners, external disks and webcams.

User Accounts

New Arrivals to the AEI

We aim for all people newly arriving at the AEI to be able to work productively from day one. Computer user accounts can be setup in advance and computer equipment specified and ordered before arrival at the AEI.

IT Security Policies

• The rules and regulations for use of AEI computing and IT facilities/services that you agree to by using your computer account here and/or by using the IT facilities/services:
  • User Declaration, English, (PDF) and use of mobile devices, English, (PDF)
  • Nutzererklärung, Deutsch, (PDF) und Nutzungsordnung für den Gebrauch von mobilen Datenträgern, Deutsch, (PDF)
• All security updates[1] must be applied to computers[2] used at the AEI.
  ( [1] exceptions are allowed for good reasons, such as if a particular security update is known to break something or to actually make a computer more insecure. Please consult IT Support in such cases. )
• In general mobile computers should be encrypted.
• Please report any suspected breach of IT security to the IT Department.
• Please use a strong password for your AEI computer account.
• Your AEI computer account is for your use only, and should not be given to other people to use. If someone else needs access to AEI IT services they can apply for an account.
• Computers must use appropriate security software such as Anti-Malware and Anti-Virus
• Please take care when using 3rd party services (e.g. gmail, dropbox, google docs). You have to be very careful with data about other people. For example if you receive job applications and direct those into a gmail account you are probably breaking German data protection laws. If in doubt please ask.
• Use appropriate data storage services for your data. For example for your important data (documents, scientific results) our cloud storage service is recommended

Private use of MPG IT Services

Private use of MPG IT Services is allowed if you provide consent. Without this consent, MPG IT services may not be used for personal purposes.

Personal Data

Which personal data the institute collects, processes and deletes.

Responsibilities

The AEI IT Department is directly responsible for the central IT services of the AEI and for managed computers (those computers where the user/s do not have administration/system level access) operated by the IT Department.

For computers where the IT Department does not have system access if there is a security problem and the responsible person is not available the computer will be taken offline (quarantined).
